There's one number in inbound sales that predicts more than almost any other, and most teams don't measure it: how long a new lead waits for a first reply. Whoever answers first tends to win, because a lead is never more interested than in the minute they hit send — and they're usually messaging you and three of your competitors at once.
Why the first reply wins
Two things happen the moment someone enquires. Their intent is at its peak, and a race starts that they didn't tell you about. The business that replies while that intent is hot gets to shape the conversation, book the time, and anchor the relationship. Everyone who replies later is negotiating with a lead who has already half-committed to someone else.
A reply in five minutes and a reply in five hours are not the same lead. By hour five you're often talking to someone who has already booked with a competitor.
The maths on a slow reply
Say you spend to generate 500 enquiries a month. If a third of them land outside working hours — evenings, weekends, the middle of a viewing — that's ~165 leads a month whose first human reply is hours or a day late. How to always be first
- Answer on the channel they used. If they messaged WhatsApp, replying by email tomorrow doesn't count. Meet them where they are.
- Cover the hours you don't work. Most leads land when no one's at a desk. First-reply speed has to be 24/7, or it isn't real.
- Make the first reply useful. "We got your enquiry" is not a reply. Qualify, answer their question, and offer a time in the same message.
- Then hand a human the warm one. Speed gets the meeting booked; your closer does what they're best at.
